Supplier Code of Conduct

1. Purpose
At CliniciansCheck, we believe responsible partnerships are key to ethical and sustainable business. This Supplier Code of Conduct sets out the minimum standards we expect from all vendors, contractors, freelancers, and service providers (“Suppliers”) who work with us or appear on our platform.
Our goal is to ensure all suppliers operate legally, ethically, and with integrity, aligned with our values and regulatory obligations.
This Code is issued voluntarily in accordance with UK law and international business standards, and reflects CliniciansCheck’s commitment to ethical, lawful, and socially responsible supply chain governance.
2. Scope
This Code applies to all third-party suppliers, whether they provide:

Technology, hosting, or software

Clinical, administrative, or operational services

Products for sale or promotion on our platform

Consultancy, recruitment, logistics, marketing, or compliance support
3. Legal and Regulatory Compliance
Suppliers must comply with:

All applicable local, national, and international laws

UK Modern Slavery Act 2015

UK Bribery Act 2010
-
UK Equality Act 2010
-
General Data Protection Regulation (GDPR) and/or relevant data laws
-
International labour standards (e.g. ILO conventions)

Suppliers must maintain all relevant licenses, permits, and documentation.
Suppliers must also comply with:
Anti-Money Laundering (AML) and Counter-Terrorist Financing laws
Applicable economic or trade sanctions, including those issued by the UK, EU, U.S. (OFAC), or United Nations
4. Labour and Human Rights
We expect our suppliers to:

Prohibit forced labour, child labour, and human trafficking

Provide safe and fair working conditions

Comply with legal working hours and wage requirements

Respect freedom of association and collective bargaining

Prevent harassment, abuse, and discrimination
CliniciansCheck encourages suppliers to promote diversity and inclusion in their own recruitment, leadership, and contracting practices. We welcome collaboration with minority-owned, women-led, disability-inclusive, and socially responsible enterprises.
5. Health, Safety, and Environment
Suppliers must:

Maintain a safe and hygienic working environment

Follow environmental protection laws

Minimise waste, emissions, and environmental impact where possible
6. Business Ethics and Integrity
Suppliers must:

Avoid corruption, bribery, and anti-competitive behaviour

Declare conflicts of interest that may affect objectivity or impartiality

Uphold transparency in billing and commercial dealings

Never offer gifts, favours, or incentives to CliniciansCheck staff
7. Data Protection and Confidentiality
Suppliers must:

Comply with applicable data protection laws (e.g., UK GDPR, HIPAA if applicable)

Protect confidential data and trade secrets

Report any data breaches immediately to CliniciansCheck

Use personal data only for authorised purposes and with legal basis
8. Monitoring and Compliance
CliniciansCheck reserves the right to:

Request audits, certifications, or compliance reports

Conduct due diligence and risk assessments

Terminate agreements if breaches of this Code are found
9. Reporting and Whistleblowing
If a supplier or their staff become aware of misconduct, they should report it confidentially to:

All reports will be treated seriously and without retaliation.
10. Policy Updates and Acknowledgement
This Supplier Code of Conduct will be reviewed annually. Suppliers must:
